INTRODUCTION This Microsoft Excel(1) worksheet has been developed to aid in formatting data entry to conform to the 1996 Core Curator's Database format. It consists of a worksheet on which to enter your data and a toolbar with tools to assist in this data entry. It was developed for use with Excel version 5.0 or later. If you have a version prior to 5.0, you probably will not be able to use the template. TEMPLATE The file downloaded from NGDC is a template. Every time it is opened, a new file is created with a default name. Changes are never made to the template directly. If you have a particular naming convention that you would like to use, it would probably be a good idea to do a SaveAs after opening a new document. This will ensure that the filename you choose will be used instead of the default name. TOOLBAR The toolbar consists of three buttons. The first one looks like a notebook, the next one should be an X, and the last one should be a printer. This toolbar can be placed anywhere in the workspace, keep in mind that it may be used frequently during data entry. If the toolbar is accidentally closed, it can be retrieved by doing the following: - Select the View pulldown menu - Select the Toolbars... item (displays a Toolbars listbox) - Scroll through the list and find CorEnter (probably last) - Check the box and click OK - The toolbar should reappear. * If you could not find CorEnter Toolbars list, then the toolbar may have been deleted. Opening another copy of the template will create the toolbar again. Notebook Icon ------------- The notebook icon is used to pull up a listbox of available items to choose from. For example, if you wanted to know about all the available Sampling Devices, you would choose a cell in the Samp Dev Code column and press the notebook icon. This would bring up a list of all available sampling devices. A sampling device can be chosen (by either double-clicking the choice, or selected the choice and pressing OK). This would place the code that corresponds to the chosen device into the cell. With the exception of the Inst/Ship Code column, the notebook icon functions exactly the same (as detailed above) for all columns with information available. The Inst/Ship Code column will bring up a dialog box from which two selections have to be made, the institution and the ship. To make a selection from this dialog, do the following: - Press the down arrow beside the Institution entry box - Select the institution - Wait for the Ship listbox to be initialized with all the available ships for the chosen institution (this may take a couple of seconds) - Select a Ship from the listbox by either double-clicking it, or selecting it and pressing OK - The corresponding institution/ship code should now appear in the cell. X Icon ------ The X icon sort of reverses the notebook icon function. Once a code has been placed in a cell, if you want to find out what the code translates to this is the button to use. To use this, select the cell that contains the code you want to translate. Then select the X icon button. If there is information available on the chosen code, it will be displayed in a window. Printer Icon ------------ The printer icon may be helpful if you find it cumbersome to use the notebook icon to look up codes. What the printer icon will do is print out a list of the codes and what they translate to for a chosen column. To use it, just select the column that you want a code list for and press the printer icon. This will print out a code list for the column. Again, with the exception of the Inst/Ship Code column the printer icon functions the same for all columns with information available. For the Inst/Ship Code column when the printer icon is pressed, a listbox of institutions appears. Select an institution from this box and the codes for all the ships associated with the chosen institution will be printed. WORKSHEET The worksheet (which should be named Data Input) consists of a blank worksheet with predefined headings. These headings correspond to the data elements of the 1996 Core Curators Database format. Column headings appearing in red are the columns that have lookup information associated with them (i.e. you can use the toolbar icons with these columns). Cruise ID: Cruise identifier from institution, maximum 15 alphanumeric characters. Sample ID: Sample identifier from institution. Should be unique within cruise (for a sampling device), maximum 15 alphanumeric characters. Date Collected: Date sample collected form YYYYMMDD. Sec Lith Comp: Secondary Lithologic Composition for Interval, 1 character code from same list as primary lithologic composition used for a second lithology that is common but lesser than the primary lithologic composition. Please enter as either degrees/minutes or decimal and NEVER BOTH. WHEN FINISHED When data entry is complete and the worksheet is ready for NGDC, the file can either be uploaded by you or downloaded by us. Upload ------ In order to upload your file to NGDC do the following: - save your file in a directory (system) accessible by ftp - from the directory that contains the file, type ftp ftp.ngdc.noaa.gov - login as anonymous - password is your email address - once logged in perform this sequence of commands bin (this will change the xfer type to binary) cd /pub (change directories to appropriate one) put filename (replace filename with your filename) bye (closes your ftp session) - once transfer is complete, send us an email indicating that you have placed your file on our ftp server and what the name of the file is. This should be done soon after the transfer so we can retrieve the file before it is purged (the /pub directory is a temporary storage area).
